Job Description

This position calls for an individual who possesses the following accountabilities: decision-making, problem-solving, communication, team-working, planning and organizing, time management, and customer orientation skills.

The purpose of this position is supervision of all activities in the CFS, ensure that the operational movements are in conformity with defined procedures and policies.

The position reports directly to the Senior Operations Supervisor.

Job Context

  • Ensure daily plan of CFS operations as per overall planning strategy based on terminal obligations to its customers.
  • Timely delivery of efficient and effective plans, which enables the highest level of productivity to be achieved with the level of resources determined by senior management.
  • Ensure that all plans issued can be executed without compromise to safety rules and regulations. Plans and subsequent reporting to be of a standard that fully meets commercial obligations and fully meets the quality and expectations of the Port’s customers.
  • Stowage of cargo in warehouses effectively.
  • Inventory management & reports.
  • Liaise with the Customs authorities, clients, all other stakeholders and terminal management in order to provide best CFS and Custom inspections services.
  • Arrange for replacement staff by coordinating with staff control thereby ensuring continuity of CFS and Custom inspection operations.
  • In case there is congestion at the CFS, intervene & investigate the matter and take appropriate corrective measures.
  • Invite feedback from the reporting personnel for system up gradation and convey the same to the IT department.
  • Offer assistance to the CFS staff thereby ensuring effective operations at all times.
  • Offer every possible assistance to the customers thereby facilitating effective CFS and Custom inspection operations.
  • Ensure that discipline is maintained at all times at the CFS and Custom inspection area.
  • Ensure that CFS staff fully understands the importance of effective CFS activities. Be prepared to challenge the status quo and subject to no compromise of safety risks, experiment with new ideas, always ensuring that operational risks are understood and contained.
  • Timely delivery of relevant requested reports.
  • Ensure effective inter and intra departmental communication.
  • Invite suggestions from the reporting personnel to identify areas for operational improvement.
  • Perform periodical scheduled performance review with reporting personnel.
  • Ensures cargo in Warehouse is secured properly on flats if not initiate necessary actions.
  • Ensure cargo care along with its stowage indication & handle IMO Goods as per the requirements of IMDG code.
  • Monitors the usage of warehouse equipment to achieve maximum productivity in Operations.
  • Coordinates with Planning Section/Department to execute the planned operations effectively.
  • Intervene and resolve any issues arising at CFS.
  • Report any resource shortage to Senior Operations Supervisor.
  • Prepare & communicates the daily work plan.
  • Ensures all Standard Operating Procedures are implemented & followed according to work plan.
  • Generates accident & damage reports to Senior Operations Supervisor.
  • Submits all information, documentation and equipment to the next shift.
  • Monitors maintenance i.e. lights, slot painting and reports defects to Senior Operations Supervisor or technical Department.
  • Ensure that the daily work and off schedule for all the people in CFS operations is prepared in time and sent for approval to the senior staff and then forwarded to HR Department.
  • Plan employees annual leave, to be approved by the Head of Operations Department and submitted to HR.
  • Responsible for Safety, discipline and environment in work area.
  • Adhere and respect safety and security procedures and policies.
  • Performs any other tasks assigned by superior.

Qualifications, Experience, and Skills

  • Tertiary educational qualification. Degree or professional training would be an advantage
  • ‘Can do’ approach with the ability to work as a team to meet operational and engineering needs/deadlines;
  • Able to work in a high-pressure environment and calmly prioritise and manage a large workload
  • Excellent communication and organizational skills, specifically face-to-face and radio
  • Can work on own initiative and a “hands on” approach and attitude to work
  • Self-motivated
  • Ability to interface at all departmental levels, and present clear and concise reports
  • Manage projects with the ability to prioritize and manage timelines
  • Ability to work autonomously and as an effective member of a team
  • Excellent attention to detail qualities
  • Proven commitment and reliable work history
  • At least 1-year Experience in supervising people
  • High level of English literacy
  • Understands the importance of working safely with a good knowledge of Health and Safety legislation with the ability to cascade the message to the workforce
  • Flexibility with the ability to work shifts and to work overtime
  • Sound IT skills, specifically Microsoft Word and Excel
